The Friends of Bennerley Viaduct is a charity dedicated to restoring, conserving and celebrating Bennerley Viaduct. Details of how to contact us, our policies, officers and operations are available via our charity registration or by the Contact Us page

We only collect personal data of visitors to our website if they take one of the following actions through our website:

In each case, the data that we collect and the purpose that we collect it for are as follows:

Memberships

We collect contact details for our members for the sole purpose of communicating with them to conduct the business of our organisation. For this purpose we collect and retain the following information about our members:

  • Name
  • Email address
  • Postcode

We collect postcode data in order to report the area and demographics of our members on an aggregate, not individual, level. This helps our supporters and funders prove that their support benefits different sectors of society and helps us understand our reach for visitors and members.

If you choose to Gift Aid your membership fee, so we can claim back 25% from the government scheme, then we require a postal address. This is a necessary part of the scheme and is not retained by us for any other purpose.

Subscriptions

Subscribers to our mailing list supply us with an email address and name to send the bulletin to.

Donations

If you make a donation to our cause we optionally request basic contact details (email and name) to enable us to thank you. You are free to remain anonymous and not provide them if you wish.

If you contact us on the contact form we require basic contact details (email and name) in order to respond to your enquiry.

Cookies

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

If you hold a Web Login:
When you log in, we will send several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Who We Share Your Data With

We share necessary data between the officers of The Friends of Bennerley Viaduct for valid operational reasons.

The only other party that we share personally identifiable data with is HMRC in support of Gift Aid declarations.

When we share any demographic data with our financial backers, sponsors and supporters as above, this is in aggregate and never personally identifiable.

How Long We Retain Your Data

  • In respect of memberships- for as long as you remain a member.
  • In respect of subscription to our email bulletins – for as long as you remain a subscriber.
  • In respect of general contacts to us – for as long as it takes to process your query.

Note however that for statutory reporting to HMRC we must retain information supporting Gift Aid declarations “for 6 years from the end of the accounting period they relate to” – see Gift Aid declarations: claiming tax back on donations.

What Rights Do You Have Over Your Data

You have the following rights in respect of The Friends of Bennerley Viaduct’s use of your data:

  • That we hold only the data that is necessary for our operational purposes as explained in this privacy policy;

Where We Send Your Data

In order to manage the affairs of The Friends of Bennerley Viaduct, we use the following Internet service providers:

In using these services we store the personal data that we hold on the servers that host those services. It is important that confirm our compliance with EU data regulations (GDPR), particularly in respect of the export of personal data outside of the region.

We use Linode to host our website and we have specifically chosen to do so in their London data centre. Linode’s compliance statement affirms its commitment to comply with the EU’s GDPR.

Mailchimp is the service provider for our email bulletins. Their servers are located in the United States but since they certify to the Privacy Shield framework they can lawfully receive EU data as the Mailchimp GDPR FAQ explains.

Our officers use Dropbox and OneDrive in order to securely share information between them to conduct their business. While content held in Dropbox is hosted in the US, Dropbox has similarly taken steps to meet GDPR requirements as explained in their GDPR Guidance Centre. Microsoft One Drive/ Share Point details in their trust centre their procedures for maintaining data integrity in line with UK data legislation.
